SaaS Development

The context

In the previous case study, we showcased our AI-powered aggregation platform that successfully solved the challenge of collecting and structuring data at scale for a B2B client. After implementing this solution, a new bottleneck emerged: how to easily deliver that data to end-user websites.

This case study explores how we designed and deployed a scalable, embeddable calendar solution that let our clients' end users launch dynamic event experiences in a matter of days.

The challenge

After implementing the event aggregation platform for a US-based B2B SaaS company, our clients' customers, including municipalities, airports, tourism boards, and venues, faced a critical operational challenge. They lacked a simple, reliable way to publish curated local events directly on their websites.

Main challenges included:

  • No frontend resources - many clients did not have internal engineering teams to build or maintain custom event interfaces.
  • Fragmented or static solution - existing tools relied on manual updates, static embeds, or rigid CMS integrations that quickly became outdated.
  • High implementation costs - custom-built calendars required weeks of development, integration with APIs, and ongoing maintenance.

As a result, even though high-quality event data was available, the end clients struggled to operationalize it effectively on their digital platforms.

We set out to design a solution that would:

  1. Require zero or minimal engineering effort from the client;
  2. Deliver real-time, continuously updated event data;
  3. Be fully customizable to match brand identity;
  4. Perform reliably on high-traffic public websites;
  5. Scale across multiple industries and deployment environments.

The solution development

Designing a universally embeddable system

Our team had set out to create a lightweight, plug-and-play JavaScript widget that could be embedded into any website with nothing more than a simple script tag. The goal was to make integration effortless, something a client could add right away, without needing specialized technical knowledge or lengthy implementation cycles.

This efficient solution would eliminate the need for API integrations, backend setup, and custom frontend development, which was ideal for our B2B clients' needs.

Building a responsive Interface

The calendar UI was designed as a responsive interface adaptable to any website, delivering a seamless and intuitive experience across desktop, tablet, and mobile. The design prioritizes clarity, easy navigation, and fast performance, ensuring the calendar loads quickly and remains smooth even with large volumes of event data.

Customizable styling

A key requirement for widespread adoption across municipalities, airports, and tourism platforms was the ability for the calendar widget to seamlessly blend into each client’s digital environment. Rather than appearing as a third-party add-on, the widget is designed to feel like a native part of the host website—fully aligned with the client’s brand identity, visual language, and user experience standards.

Geographic and location-based filtering

To provide the end-users with a highly relevant experience, we implemented a set of filtering and customization capabilities. These include geographic filtering and location-based event display, allowing users to quickly discover events happening nearby or within areas that matter most to them.

Integrating with the data pipeline

The next step was connecting the widget directly to the event aggregation backend, creating a seamless, real-time bridge between data collection and end-user experience. As new events are discovered across thousands of sources, they are automatically surfaced in the calendar without any manual intervention or updates from the client side.

At the same time, the system continuously monitors event validity, so that the outdated or expired listings are removed as soon as they are no longer relevant. Because all deployments rely on the same centralized data pipeline, the quality and structure of event information remain consistent across every implementation.

Mobile-optimized

The calendar widget is fully optimized for mobile and responsive across all device types, allowing for a seamless experience whether accessed on desktop, tablet, or smartphone. The interface automatically adapts to different screen sizes, maintaining readability, intuitive navigation, and fast performance.

Results & Impact

The embeddable calendar solution delivered clear value across the board:

  • Faster launch times

Clients were able to go live with fully functional event calendars in just a few days, cutting down timelines that previously took weeks.

  • Less reliance on engineering teams

With no need for custom frontend builds or ongoing maintenance, teams could focus on higher-priority work instead of managing event integrations.

  • Always up-to-date content

Event listings stayed fresh and accurate in real time, powered by a continuous AI-powered aggregation pipeline behind the scenes.

  • Stronger user engagement

Visitors spent more time exploring localized, relevant events, leading to higher interaction rates, longer sessions, and more repeat visits.

  • Proven at scale

The solution has been successfully deployed across a range of platforms, including airport websites, U.S. municipalities, tourism, and cultural platforms.

By closing the gap between complex data infrastructure and user-friendly experiences, the solution turned a technically complex system into a simple, plug-and-play product that provided a faster market for new clients and established a scalable model for distributing event data

The Embeddable Calendar Builder allows us to see how thoughtful product design can unlock the full potential of a powerful backend.
